Use Auto for a first attempt. Keep the page open while the converter analyzes the document and creates your Word file.
Download Word and the extracted HTML. Compare descriptions, quantities, prices, and totals against the original PDF before editing or sharing.
This converter focuses on editable content and table structure. Fonts, spacing, page breaks, and the position of images can change in Word.
Table detection and OCR can make mistakes. A price in an editable cell is only useful when it belongs to the correct item. Always compare important values with the source.
PDF describes where content appears on a page, but it does not always describe how that content should behave when edited. This tool uses Docling to analyze the document and identify elements such as paragraphs, headings, and tables. It exports the extracted content as HTML, then Pandoc creates a DOCX document from that structure. The aim is to give you content you can work with in Word, including table cells when the table is recognized correctly. It is especially worth comparing this approach on invoices, statements, and reports where the relationship between columns matters more than matching every visual detail.
Start with Auto when you are unsure how your PDF was created. The converter can use existing text and recognize scanned content where needed. Text PDF uses the document’s text layer without running OCR, which suits PDFs exported from office software. Scanned PDF (OCR) requests recognition across the page, which can help when an existing text layer is missing or unreliable. OCR takes longer and can introduce errors, so it is not automatically the best choice for every document. The language selector lists the OCR languages available on this server; changing the website language does not add an OCR language.
Clear source pages give recognition a better starting point. Keep the page upright, include the complete table, and avoid shadows across numbers or column boundaries. A readable scan is more useful than a very large file containing blurred text. If the PDF contains many pages, split it into smaller documents that fit the displayed limits before uploading. Unlock password-protected files on your device using their password. For a first comparison, use one representative invoice containing a few items and a total. This makes it easier to spot a shifted price or missing row before processing other documents with a similar design.
Before uploading, zoom into a few small values and check that every digit is legible. If a number is ambiguous in the source image, automatic recognition may also misread it. When possible, create a clearer scan from the original document instead of repeatedly converting the same blurred copy.
A table can look convincing while containing a serious row error. Compare each description with its quantity, unit price, and line total in the original PDF. Watch for descriptions that wrap over two lines, merged header cells, repeated headings, and totals placed outside the main table. These features can confuse table detection or reading order. Check decimal separators, negative amounts, currency symbols, and invoice dates as well as the grand total. Do not assume that matching totals prove every row is correct. For documents used in accounting or purchasing, review all important cells and correct the Word copy before relying on its contents.
The extracted HTML is a second output of the same conversion. Download it and open the file in a browser to inspect the text and tables before making changes in Word. If a price already appears in the wrong row in the HTML, that problem occurred during extraction; converting the same HTML to Word cannot restore the missing relationship. If the HTML structure is correct but Word presents it differently, adjust the table widths or paragraph styles in Word. Keep the original PDF beside both outputs during review. The HTML is an inspection aid, not a guarantee that every extracted value is accurate.
Open the downloaded DOCX in Microsoft Word or another compatible editor. Click inside a recognized table to confirm that its contents occupy editable cells. You may need to widen a description column, repeat a header row, or move a page break after editing. Fonts and line spacing can differ from the PDF, and complex merged cells may need manual repair. Save a working copy before making substantial changes so you can compare it with the conversion result. If exact visual presentation is more important than editing the content, keep the original PDF as your reference and share it alongside the revised Word document when appropriate.
Our original PDF to Word converter remains available as a separate tool. Different extraction methods can produce different results from the same PDF, so neither option is guaranteed to win on every file. Use a small sample to compare the accuracy of text, the grouping of table cells, and the amount of cleanup required. Check the outputs in the editor you plan to use, since document editors may display spacing differently. For an invoice, prioritize the correct pairing of items and prices. For a mostly textual report, focus on paragraph order, headings, and whether the content remains easy to revise.
Conversion takes place on the ConvertFoto server, so your PDF is uploaded when you press Convert to Word. The original upload and generated files are temporary, and the page displays the download expiry time after conversion. Save both outputs before that time if you need them for later review. You can use Delete files now to remove the temporary server copies sooner. Deleting server files does not remove downloads already saved on your device. If the connection is interrupted, use Check status again to reconnect. An expired or deleted conversion requires a fresh upload; keep your original PDF until you have reviewed the result.
Recognized tables can become editable Word cells, but detection is not guaranteed. Merged cells, faint borders, complex layouts, and poor scans can produce missing or misplaced values. Review the extracted HTML and compare important rows with the original PDF.
Yes, OCR is available for scanned content. Select an OCR language that matches your document from the available list. Recognition depends on scan quality, and handwriting or very small text may be inaccurate. The website’s display language is separate from the installed OCR languages.
No. This method rebuilds the extracted content as a Word document. It can change fonts, spacing, columns, image positions, and page breaks. Keep the original PDF if you need a reference for its exact appearance.
HTML shows the extracted content used to create Word. Open it in a browser to check table rows, prices, and reading order. It helps distinguish an extraction mistake from a formatting difference introduced when the content is presented in Word.
No. Both tools remain available. Compare a representative page in each converter and choose the result that needs less correction for your document. A different conversion method can help with some PDFs and produce a less useful result with others.
Your PDF is uploaded and processed on the ConvertFoto server. Temporary server files expire after one hour. You can also use Delete files now after conversion. Documents already downloaded to your device remain there until you delete them.
